How to reduce PDF size for online application forms

Most "file too large" errors on government, exam and job portals come from phone-scanned PDFs. Here's why they're big, and a five-minute routine to get any document under the limit while keeping it readable.

Why your PDF is too big

A PDF made in Word is mostly text, so it’s tiny: often 50–200 KB for many pages. A PDF made by scanning or photographing paper is different. Every page is a photo, usually 3000 × 4000 pixels in full colour. Ten such pages can easily reach 20–40 MB, while portals commonly allow 1 MB, 500 KB or even 200 KB.

The good news is that a document doesn’t need anything like that much detail to stay readable. Most of those bytes can go.

The five-minute routine

1. Keep only the pages that are asked for

Every extra page costs space. Delete blank pages, instruction sheets and duplicates with Remove PDF pages: click the pages you don’t need and save.

2. Fix the order and orientation

Portals and reviewers look at pages in order. Combine separate files in the required order with Merge PDF, and turn sideways scans upright with Rotate PDF. Rotation doesn’t add size.

3. Compress to the portal’s limit

Open the page for your limit, such as Compress PDF to 1 MB or Compress PDF to 200 KB. NapTools recompresses only the scanned images inside the PDF, starting gently and going stronger only if needed, and stops as soon as the file fits. Typed text and digital signatures’ visible text are not touched.

4. Check it before you upload

Open the compressed PDF and zoom to 100%. Make sure registration numbers, dates and stamps are readable. If something is too soft, the original scan was probably too dark or blurry; rescanning in better light helps more than anything else.

5. Upload, and keep the original

Upload the compressed copy, but keep your original file. If a reviewer asks for a clearer copy later, you still have it.

Scanning tips that make PDFs smaller from the start

  • Use a scanner app’s “Document” or “B&W” mode. Grayscale pages are much smaller than colour.
  • 150–200 DPI is plenty for documents. 600 DPI scans are four to nine times larger with no benefit on screen.
  • Crop to the paper edge. The table and background around the page still take up space.
  • Good light, no flash. Even lighting makes cleaner scans that compress better.

What if it still won’t fit?

  • Split it. Some portals accept several smaller files; use Split PDF to divide by section.
  • Check whether JPG is allowed. If the form accepts images, a single page compressed with Compress image to KB is often sharper at the same size.
  • Ask whether the limit is per file or total. It’s worth reading the instructions again; limits are often per document.

Privacy note

Application documents contain your Aadhaar, PAN, bank and education details. NapTools compresses PDFs inside your browser, so they are never uploaded to any server. You can confirm this by switching off your internet after the page loads; compression still works.
